1. Starting June 1, 2023, UCW’s non-refundable $150 application fee will be automatically deducted from the tuition deposit a student makes before they start their studies at UCW.

2. If a student has a financial hold applied to their account, this fee is required to release the hold and re-establish the account. The hold will only be released upon full payment of the balance.

3. The graduation fee must be paid upon application for graduation. It is refundable only if the applicant is ineligible to graduate. The graduation gown is provided at no additional fee if attending convocation, and the fee includes one free transcript and graduating credential. 

4. If not registered for University Canada West classes for more than 1 year, this readmission fee must be paid.

Purpose

University Canada West (UCW) is committed to taking all necessary and reasonable actions for the collection of overdue accounts, ensuring the settlement of outstanding balances. This notice serves as a guide for the collection of outstanding and overdue accounts, with the primary goal of minimizing instances of account delinquency.

Student Commitment

Upon enrolling in classes, students initiate a contractual agreement with the University. By doing so, they acknowledge and agree to adhere to the rules, policies and procedures of University Canada West. These terms, as well as any subsequent amendments, are accessible through the MyUCW Student Portal, the UCW website and the Academic Calendar.

Under the Student Rights & Responsibility Policy 9014, it is each student’s responsibility to remain aware of, and comply with, all UCW policies and procedures, including payment deadlines and rules pertaining to their time at UCW. Ignorance of these rules or policies does not exempt students from adhering to them. This declaration binds students to these conditions throughout their attendance at UCW.

Financial Responsibility

It is the responsibility of each student to stay informed about payment deadlines and to ensure prompt payment of tuition and fees.

Collection Process

UCW Finance follows a structured process for collecting outstanding balances:

  1. Communication

Students with outstanding tuition and fees will receive notifications from our Student Financial Services department. These notifications will be delivered via email and, in some cases, through phone calls. These communications are designed to serve as reminders and to provide guidance on resolving the pending payment.

  1. Final Notice

If the matter remains unresolved, UCW Finance will provide a final notice of the outstanding tuition and fees to the student via email or phone. UCW Finance will continue to work with students to resolve all outstanding balances.

  1. Escalation to Collection Agency

In the unfortunate event that an outstanding balance remains unresolved, UCW reserves the right to engage external collection agencies. This step is taken with careful consideration and aims to prompt timely resolution. It is important to note that this action may have potential implications for credit ratings and financial standing.

Taking Preventive Action

We recognize that unexpected situations can lead to financial difficulties. If you encounter challenges in paying your tuition fee, we urge you to contact our Student Financial Services department [email protected]. Our team is available to explore options such as payment plans or financial aid to prevent escalation.

We genuinely care about your educational journey and prospects. Timely resolution of outstanding tuition fees can safeguard your credit history and financial well-being. This has a positive impact on your ability to secure loans, obtain favourable interest rates, and pursue future employment opportunities.

Student Refund Requests

Upon enrolling in classes, a student has initiated a contract with the University and is bound by the following declaration:

“I have read, accept and agree to adhere to the statutes, rules and regulations, policies and procedures of University Canada West, and to any amendments thereto which may be made while I am a student at the University. I understand that I can access this information through policies listed in the MyUCW Student Portal, the UCW website and the Academic Calendar. I understand that it is my responsibility to be aware of all deadlines and rules pertaining to my time at UCW and that ignorance of the rules or policies does not excuse me from adherence to such. By agreeing to this declaration, you are bound by these conditions for the length of time that you attend UCW.”

Space in UCW courses is limited and the tuition refund schedule is designed to discourage a student from holding space in course(s) that they eventually do not use. Courses dropped after the stated deadline are not eligible for a refund; please see the Student Tuition Refund Policy Procedure 3001p on our website for details.

Students are considered responsible for adhering to all deadlines as per the Academic Calendar under the Tuition Fee section.

A student has the right to identify anyone of their choosing to be their support person. A support person cannot speak on behalf of the student, including answering questions for or on behalf of the student; stand in for, or represent a student at a meeting, when a student cannot be present.

Student Rights and Responsibilities Advisors meet with students to ascertain the nature and scope of their concerns and advise students on how to proceed under University policy. Advisors provide advice, support and information in a professional manner to students seeking information and guidance concerning student appeals (information about the process), complaints and concerns and advise students of their right to advocacy support as required. Ombudsperson:

The Office of the Ombudsperson is independent of UCW to ensure that UCW follows its policies and procedures in a fair manner. The Ombudsperson’s focus is to advocate for fairness. If you believe that you have been treated unfairly after you have taken the necessary steps to resolve your concerns available through the university policies and procedures, then the Ombudsperson may decide to mediate or intervene if they have identified procedural unfairness because a certain policy or procedure was not followed that impacted your situation. The Ombudsperson has NO authority to change university decisions; they can advocate for fair outcomes that follow university policies, procedures, and best practices.
