Primary Purpose

The Office Project Coordinator, Registrar Services is responsible for the delivery of Registrar services in the areas of urgent application cases; consultation with admissions team on urgent cases, and their resolution; workflow management of urgent cases and communication both internally and externally; support to front line staff on applicant and student enquiries; and file management support. The Office Project Coordinator, Registrar Services assists the Registrar with policy development and administration associated with their areas of responsibility including advising and training University faculty and staff on policies and procedures.  The Office Project Coordinator is responsible for assisting the work of support staff in the Registrar’s Office as needed.

Specific Responsibilities

Reporting to the Associate Registrar the Office Project Coordinator works with Senior Academics, Administrators, Student Services, and other UCW departments to support new and continuing students as well as the business objectives and purpose of University Canada West by undertaking the following:

  • Work on various projects in a professional, courteous and helpful manner
  • Be involved in the hiring, supervision and evaluation of the Registrar’s office staff
  • Organize and administer applicant and student enquiry functions and related activities in order to provide maximum service to students while ensuring efficient and effective workflow
  • Assist in developing policies and best practices for application and file management and enhanced services to students
  • Oversee urgent cases and ensure that cases are administered in proper priority order
  • Problem-solve, research, analyze and resolve applicant/student inquiries and concerns as they relate to admissions and enrollment
  • Collaborate with administrators, deans, faculty, IT and counselors to facilitate and improve admission and enrollment services
  • Serve on University committees as appropriate

Education and Experience:

  • Bachelor’s Degree from a recognized university or post-secondary institution relating to the area of responsibility
  • 3 years of direct experience or 5 years of experience in a related field
  • Proven record of successful supervisory experience in people oriented environment with diverse population
