Primary Purpose

Reporting to the Manager of Student and Career Services, the Student Services Administrative person provides a high standard of client services supporting international, domestic, online and on campus students. This position works closely with all UCW departments and with the students to enhance student experiences at University Canada West.  Duties also include administrative support.

Specific Responsibilities

Primary Responsibilities

  • Manage course registration for new and current students each term: ensure students are registered in a timely manner
  • Provide information, support and advice on a range of issues, including, but not limited to course registration process, university policies and procedures and general inquiries
  • Deliver information sessions to students per term
  • Assist in Student Orientation and Academic Readiness sessions each term i.e. overseeing the SOAR course registration, delivering presentations
  • Compile and analysis student reports
  • Maintain up-to-date knowledge of current policies, procedures and regulations
  • Administrative duties including, but not limited to attendance tracking, maintaining student records, ordering supplies, research
  • Communicate with students regarding course registration, degree pathways and other information as required

Secondary Responsibilities

  • Assist in student related events and activities including, but not limited to planning, supervision and presentations
  • Assist the Manager of Student and Career Services
  • Attend meetings and work in collaboration with student programs and/or committees on student related activities and events on and off campus
  • Facilitate, promote and communicate with staff and external services regarding UCW related programs, meetings and events
  • Participate in promoting UCW activities and events on and off campus
  • Analyze student feedback and provide input to current and future activities/workshops/information sessions
  • Continuously improve knowledge about courses/programs/processes to enhance the level of service to students
  • Prepare written reports as required and requested
  • Provide backup to Student Services frontline office
  • Other duties as required

Position Requirements

To be successful in the Student Services Support position, an individual must possess, and be committed to developing, maintaining and demonstrating the following:

Education and experience

  • Baccalaureate degree from a recognized post-secondary institution
  • Experience in post-secondary educational organizations


  • Proven service-oriented focus
  • General knowledge of admission, registration and retention processes
  • Organization: efficient, effective, dependable time management skills
  • Accuracy and high level of attention to detail
  • Evidence of advanced English skills with written skills at a formal university level
  • Solid Communication skills: able to communicate with a diverse range of people
  • Ability to constructively engage and form strong relationships with students, faculty, staff and external
  • Strong administrative skills
  • High level proficiency skills in Microsoft Office; particularly in Excel and Word
  • Proven ability to work independently and in a team
  • Adaptability and change management skills

Please note that this role involves some work after hours and on weekends. 

Salary Range: $40,000
