Primary Purpose

Reporting to the Manager ofStudent and Career Services, the Student Services Coordinator provides a high standard of client service supporting international, domestic, online, and on campus students starting and continuing in their studies. This position works closely with all UCW departments and students to enhance student experiences at University Canada West

The Student Services Coordinator, is responsible but not limited to academic advising, implementation and development of programs and events, advise about university’s services and policies and course registration period. 

Specific Responsibilities

The Student Services Coordinator position is responsible for the following as well as other related duties as assigned to support the business objectives and purpose of the University:

Primary Responsibilities

  • Responsible for overseeing the course registration period, provide academic advice, and assist with problem-solving and meeting the deadline
  • Responsible for overseeing, developing and implementing Student Service’s programs and services like the Ambassador program
  • Provide information, support and advice on a range of issues, including, but not limited to, academic advice, course registration process, university policies and procedures and general inquiries
  • Supporting the administrative functions of the campus to enhance the student experience
  • Trains and supervises new staff members when needed on UCW policies, protocols, programs and service
  • Work closely with other department to ensure a smooth delivery of programs, services and information to students
  • Assist in the planning and development of Student Orientation and Academic Readiness
  • Maintain up-to-date knowledge of current policies, procedures and regulations

Secondary Responsibilities

  • Analyze student feedback and provide input to academic planning and the scheduling of future courses with Academic Department
  • Identify specific and general impediments to student success and propose solutions.
  • Assist the Manager of Student Services & Support Coordinator
  • Continuously improve knowledge about courses/programs/processes to enhance the level of service to students.
  • Assist with student events/workshops/activities and report as requested
  • Prepare written reports as required and requested
  • Provide backup administrative support when needed

Position Requirements

To be successful in the Student Services Coordinator position, an individual must be committed to developing, maintaining and demonstrating the following:

Education and experience

  • Baccalaureate degree from a recognized post-secondary institution
  • Experience involving direct student contact and support
  • Experience in coordinating and development of program and/or services for students
  • Experience in academic advising
  • Experience in understanding and interpreting policies, protocols and processes
  • A minimum of two years in post-secondary university experience

  • Excellent organization skills with the ability to multi-task
  • Ability to complete work in a timely manner with accuracy and attention to detail
  • Evidence of advanced English skills with written skills at a formal university level
  • Proven ability to work independently and in a team with minimum supervision
  • Good judgement and ability to prioritize assignments  
  • Ability to work under pressure and maintain a calm focus during busy periods
  • Solid working knowledge of MS Office including Word, Excel, Outlook and ability to troubleshot minor computer programs
