As our valued partner, you help us shape our brand. You represent UCW when you talk to prospective students, their parents or colleagues.

The following guidelines are intended to provide direction for UCW Representatives to promote our brand consistently. As our university continues to evolve, so does our brand and these guidelines.

It is essential that our standards and guidelines are strictly followed to maintain the integrity of our brand. Failing to do so puts our university at risk of facing consequences from the government and jeopardizes our accreditations.

Your UCW Representative is your primary contact for information and requests about UCW.

When you are creating any promotional marketing assets for UCW, such as a social media graphic, webinar, landing page, brochure, flyer or video, you must send it to your UCW Representative for approval. The UCW Representative will respond within two (2) business days and acknowledge the request has been received. The request will then be reviewed and sent back approved or with requested changes. Once the requested changes have been made, you must send it back to your UCW Representative for final review and approval.

Partners are not permitted to contact any UCW students either directly (unless they are a client) or through a paid ad. Partners are also not permitted to contact any UCW faculty or staff. If you have a request, please send it to your UCW Representative for approval and they will put you in touch with someone from UCW.

If you want to host a UCW webinar or an in-person event you must contact your UCW Representative for approval and to organize the logistics of the event.

Live events on social media channels are prohibited and subject to compliance.

If you would like to post a recorded event on any social media channel, the video must be sent to your UCW Representative and the UCW MarCom team for approval prior to posting and distribution. Failure to comply will result in having to remove the video immediately.

You are not permitted to create any social media accounts on any social media platform on behalf of UCW. If you create an account, you cannot use the University name or logo and you cannot say you are an official UCW account.

Make sure to send the materials to your UCW Representative and request approval before posting.

  • Use the correct images when promoting Vancouver. Do not use photos of Toronto or any other location. Use correct images of UCW campuses.

UCW-branded merchandise can only be produced and distributed by the UCW Marketing and Communications team. You must contact your UCW Representative to request your merchandising.

  • Your UCW Representative must approve PowerPoint presentations prior to any event to ensure accuracy of information and proper usage of our brand.
  • It is strictly prohibited to upload presentations to YouTube or any other social platforms without obtaining permission from the UCW MarCom department.
  • Presentations SHOULD NOT include scholarships or tuition prices.
  • If new slides must be added to UCW’s official PowerPoint slide deck template, the edited document must be sent to MarCom for approval before use.

All videos about UCW, or that mention UCW, must be sent to your UCW Representative and the UCW Marcom team prior to posting and distribution. Failure to comply will result in having to remove the video immediately.

If you would like to post a video about a recorded event on any social media channel, the video must be sent to your UCW Representative and the UCW MarCom team for approval prior to posting and distribution. Failure to comply will result in having to remove the video immediately.When submitting the video for approval, please provide an English translation of the video’s content.

Please include the video’s title, description, hashtags and links to the social media channels where the video will be uploaded.

Follow the guidelines to create high-quality videos that are accessible, engaging and align with UCW’s brand standards.

  • All videos on YouTube should not exceed the recommended time length of 2 minutes or maximum of 5 minutes.
  • UCW’s photos or videos cannot be added to the videos without UCW MarCom prior approval.
  • Ensure the video incorporates UCW branding and colours throughout to maintain a consistent visual identity.
  • The production quality of the video should meet UCW’s standards. Pay attention to the following aspects:
    • Sound Quality: Ensure clear and audible audio, minimizing background noise.Eliminate excessive background noise and ensure that the selected music complements the content of the video.
    • Camera and Lighting Production: Use proper lighting techniques to ensure well-lit scenes and focus the shots effectively. Adequately light the scenes and capture well-focused shots to enhance visual quality.
    • Editing Standards: Employ professional editing techniques to enhance the overall quality of the video.

Any filming on-campus must be arranged with the UCW Marcom team a minimum of three weeks in advance. Please contact your UCW Representative to make a filming request.

We kindly request that all visits be scheduled in advance, as we do not accept drop-ins or unscheduled visits. If you would like to arrange a campus tour, kindly send a request to your UCW Representative. However, please keep in mind the blackout dates, which include convocation, Canadian statutory holidays and NSO (New Student Orientation) weeks.

  • All tour requests must be submitted a minimum of four (4) weeks in advance. This allows sufficient time for coordination and preparation.
  • Under no circumstances should filming or photography take place without the presence of a UCW MarCom member.
  • If you wish to capture any photos or videos during the tour and plan to publish them online, it is important to obtain approval from the UCW MarCom department before doing so. This ensures compliance with branding guidelines and maintains consistency in the University’s visual representation.
  • We kindly request your punctuality as we have a time limit of 15 minutes for lateness. Beyond that, the visit will be automatically cancelled.

  • Be mindful of the logo placement on your asset. Make sure the logo is visible and not too small.
  • Use the pre-approved content and official UCW template for your marketing materials to expedite the process.
  • Send your assets to your UCW Representative for approval before posting or using the material.
  • Check UCW’s website for the latest information about entrance requirements, program details, student services, tuition fees, scholarships and more.
  • Make sure all your materials state that you are an official partner of UCW.
  • Be mindful when sharing information about fees and scholarships as these details tend to change with time. All promotional materials with fees, scholarships, program details and entry requirements must be sent to your BD for review and approval.

Don’ts

  • Do not post official documents such as offer or acceptance letters.
  • Do not use UCW partner logos such as QS Stars or other accreditations when creating marketing materials. These partnerships are solely with UCW.
  • Do not promote immigration, permanent residency, work permits and family immigration.
  • Do not use any false advertising tactics when promoting UCW. For example, do not say “no English tests required” or “scholarship guaranteed” or “work experience not mandatory.” Those are false statements.
  • Do not promote the $650 hotel voucher. It is no longer available.
  • Do not post and share agreements with any third party without UCW’s consent.
